Survey Privacy & Data Use Notice
Last updated: March 2026
Purpose
This survey collects anonymous input to improve professional education for travel advisors and travel agencies.
Voluntary Participation
Participation is voluntary. You may skip any question. You may stop at any time by closing the survey.
Anonymity + How to Protect Yourself
This survey is designed to be anonymous. To protect your safety, please do not include:
-
Names, email addresses, phone numbers, social media handles
-
Booking numbers, confirmation details, flight information
-
Exact travel dates or highly specific locations
-
Names of advisors, agencies, hotels, suppliers, or tour operators
-
Any unique details that could reasonably identify you or another person
Open-text questions are optional and should remain broad and de-identified.
What We Collect
We collect responses about:
-
Trip types and planning patterns (in broad categories)
-
Safety and comfort considerations (general—not requiring specific destinations)
-
Advisor behaviors that feel supportive (or not supportive)
-
Communication preferences and privacy/discretion needs
-
Optional de-identified micro-scenarios intended for training (if you choose to share)
What We Do Not Intentionally Collect
We do not intentionally request:
-
Names or contact information
-
Passport numbers, legal document numbers, or booking references
-
Employer/school information
-
Exact itineraries or dates that could identify you
-
Social handles or direct identifiers
Platform Note (Third-Party Hosting)
The surveys are hosted using a third-party form provider (Jotform). Like most websites, the platform may process basic technical/device data (such as device or network information) to operate the service. We will not use survey responses to attempt to identify respondents.
How Responses May Be Used
Your responses may be used to improve:
-
Education modules for travel advisors
-
Training tools such as scripts, checklists, and intake best practices
-
Presentations or workshops for travel agencies and advisor teams
Our commitment to safe use:
-
We primarily share aggregated themes (patterns across responses)
-
We typically use composite scenarios (blended, de-identified examples) for training
-
If we use direct quotes, we do so only when the respondent grants permission and only in a de-identified way
-
We do not publish raw submissions publicly
Case Examples and Permissions
When we invite optional examples (micro-scenarios), respondents may choose a permission level, such as:
-
Themes only (no quotes)
-
De-identified quote (short; edited for privacy)
-
Composite scenario (blended with other responses)
-
Optional private conversation (separate link; not anonymous)
Data Access and Security
Survey submissions are accessible only to authorized individuals responsible for analysis and updating training materials. Access is limited and protected with account security settings.
Data Retention
We follow a “collect only what we need” approach.
-
Raw submissions are exported for analysis and stored securely
-
Raw submissions are deleted from the survey platform within 90 days after survey closes
-
Long-term, we retain only:
-
aggregated theme summaries, and/or
-
de-identified composite scenarios and training takeaways
-
Presentations and Small-Group Safeguards
In presentations, we avoid reporting very small subgroups in a way that could inadvertently identify someone. If a category has very few responses, we may combine it into broader groupings or keep it as a private internal insight.
Limitations
Because this survey is anonymous, we may not be able to locate or remove a specific response after submission. The best privacy protection is to keep responses broad and de-identified.
Not Legal Advice / Not Emergency Support
This survey and related education materials are for informational and training purposes only and are not legal advice. If you are in danger or need urgent help, contact local emergency services.
Questions
If you have questions about a survey or how responses will be used, contact Denise.
